Importing Calendar Data

Procedure

The purpose of this document is to provide directions for importing your calendar backup into Office 365.

  1. The day after migration, WTS recommends:
    • Users import their legacy calendar as a secondary reference calendar
    • Users recreate their events
    • This process should update invitees and resources appropriately, including invitees still in the legacy system
    • This ensures data integrity for events (organizers, attendees) and ensures the resource is booked. 
    • This process may be time consuming, and may result in users receiving multiple invites.
  2. If you have appointments only and do not organize events, book resources, or receive invitations, you may be able to import your legacy calendar into your primary calendar.
    • This process is very fast and user-friendly.
    • This process will bring forward any bad data (broken appointments, etc) from the legacy system if it exists.
    • This process will break any links between attendees and resources for an event.
  3. To easily view your secondary reference calendar as you create events in your Office 365 calendar, open both calendars in your desktop Outlook client.

Note: Western WTS recommends using the dedicated Microsoft Outlook app from your device app store for the best results.

Outlook Web App (OWA)

  1. Go to https://myoffice.uwo.ca and login
  2. Go to Calendar

  3. Click the + button next to "My calendars" to add a new calendar.  Name it something like "Calendar Backup" or "Imported Calendar"
  4. Click Add Calendar, click "From File"

  5. From a ROAMS or on campus connected workstation map a network drive to the share link e.g. \\cdssb-prod-cifs1.ipsan.uwo.pri\ITSCalendar$\FacultyMig\DeferredMigration For assistance in mapping a network drive to access the exported calendar file review the How Do I... or contact the WTS Helpdesk.
  6. Click Browse and select your iCalendar (.ics) file, click OK.
  7. In the Calendar drop-down menu, select the backup calendar you just created.
  8. Click Save

Outlook 2013/2016

  1. Click File --> Open and Export
  2. Click Import/Export
  3. Click "Import an iCalendar (.ics) or vCalendar file (.vcs)" and click Next
  4. From a ROAMS or on campus connected workstation map a network drive to the share link e.g. \\cdssb-prod-cifs1.ipsan.uwo.pri\ITSCalendar$\FacultyMig\DeferredMigration For assistance in mapping a network drive to access the exported calendar file review the How Do I... or contact the WTS Helpdesk.
  5. Click Browse and select your iCalendar (.ics) file, click OK.
  6. Click the "Open as New" button to import your old calendar data into a new secondary calendar to use as a reference.
