Voicemail to Email Service

Western Technology Services offers voicemail to faculty and staff which include a variety of default features, and the option of forwarding of messages to email.

Voicemail to Email Service

This service at no additional cost delivers your voice messages to your Western Email account as an audio file attachment. Listening to your voice messages is managed on your device (e.g. desktop computer, laptop, or smart phone) using an audio player such as VLC. Once received, it can be deleted, forwarded, and replied to, the same way you would any email message. Please note that you can only Reply to a person who has also opted for this service.

There are two ways to have your messages deliver to your Email:

Voicemail to Email

This method does not require any setup by you. Once the Helpdesk receives your request to sign up for this service, we will change your voicemail profile. Messages are delivered to your existing email account and can be accessed anytime and anywhere you access Western’s email. This option only allows message management from your email account. When a voice message is delivered to your email account in this manner, the message waiting light is not activated on your phone.

Voicemail to Both - Email and Phone

This method does require some setup by you. An IMAP account using the email client of your choice (e.g. MS Outlook, Thunderbird, iPhone etc.) needs to be created. This delivery method is not compatible with either Convergence or BlackBerry. This option allows voice message management from either your email account or your phone, turning the message waiting light on or off.

NOTE: The voicemail IMAP account has a maximum quota of 13 mb and comes only with INBOX. You CANNOT create any folders within this account, however you can move messages to your other account created within the same client.

Server Settings

Access Voice Mail Messages on Your Computer or Mobile Device

The recommended server settings to connect to the Western mail system are:

Incoming Mail Server:  voicemail.uwo.ca
Encryption Method:  SSL Port:  993
Outgoing Mail Server:  smtp.office365.com
Encryption Methods:  TLS Port: 587

Listen to Voicemail

Listening to Voice Mail Messages on Your Computer or Mobile Device

To listen to a voicemail message through your email:

  1. Log on to your Email account
  2. Double click an email message.
  3. The subject line will read Message from name and number
  4. Voice message is attached as ‘VoiceMessage.wav
  5. Double click on the attachment; the default media player will open and the audio file will begin playing.
  6. Once you have listened to your voice message, you can save it, delete it, move to a different folder, just like any email message.
  7. When you are finished, close the media player.

Replying to Voicemail

Reply to Voice Mail Messages on Your Computer or Mobile Device

You can only Reply to a person who has also opted for this service. 

If you reply or forward to a valid voicemail address, that message will be delivered to individual’s Western Email account.

NOTE:  If you click Reply and the address is unityconnection@voicemail.uwo.ca in the To: field, it means that you cannot reply to the voice mail message via email. If you attempt to send a reply, you will receive a Delivery Failure notification that says:

"This voicemail message could not be delivered.  The recipient does not have an active Western User ID within the Voicemail System.  If you require assistance, please contact the Helpdesk at 519 661-3800 ext. 83800 or write to us at helpdesk@uwo.ca."

Voicemailbox Overquota

Message could not be delivered to the following recipient

If you attempt to leave a voicemail for someone who uses a Voicemail-to-Both configuration and the mailbox is full. You will receive a Delivery Failure notification that contains the following information.

  1. Subject: Undeliverable: Message from Jane Smith (81234)
  2. Message could not be delivered to the following recipient(s):
  3. recipient@voicemail.uwo.ca
